1. What AcNexa is

AcNexa is a school management platform: a school signs up for an account, and its staff, students, and parents use role-based portals within that account to manage admissions, academics, attendance, finance, and communication. These terms are an agreement between AcNexa and the school that holds the account - not with individual staff, students, or parents, who use the platform under the school's own authority.

2. Accounts and responsibility for data

A school is responsible for the accuracy of the data it enters, for who at the school is given an account, and for keeping its own staff, student, and parent login credentials secure. AcNexa is the technical platform that stores and processes that data on the school's behalf - it does not decide what a school records or who a school gives access to.

3. Subscription and billing

A new school starts on a trial period. Paid plans are billed per pupil, per school term, at the rate for the tier the school is on. Payment is invoiced to the school and confirmed by AcNexa; an account that falls behind on an invoice may move to a read-only state until it is settled, and a school will always be notified before that happens. Pricing tiers and their rates are set by AcNexa and can change with notice for future billing periods - never applied retroactively to a period already invoiced.

4. Acceptable use

A school (and anyone using an account under its authority) agrees not to:

• Use the platform to store or send anything unlawful, defamatory, or that infringes someone else's rights.
• Attempt to access another school's data, or any account or data the user isn't authorized to use.
• Attempt to probe, disable, or circumvent the platform's security or tenant-isolation controls.
• Resell or provide platform access to a person or organization outside the subscribing school without AcNexa's agreement.

5. Data ownership and export

A school owns the data it enters into its own account. AcNexa does not sell or use a school's data for any purpose beyond operating the platform for that school. A school can request a full export of its own data, or deletion of its account and associated data, at any time - see the Privacy Policy for how each school's data is kept separate from every other school's.

6. Service availability

AcNexa aims to keep the platform available and performing well, and takes reasonable steps to do so, but does not guarantee uninterrupted access - scheduled maintenance, third-party outages (hosting, SMS, or payment providers), or circumstances outside AcNexa's control can affect availability. AcNexa is not liable for losses arising from such interruptions beyond what is required by law.

7. Termination

A school can stop using AcNexa at any time by requesting account closure. AcNexa may suspend or terminate an account that materially breaches these terms (including the acceptable-use section above) or remains unpaid well past its billing period, after reasonable notice where practical.

8. Changes to these terms

We may update these terms as the platform changes. The "Last updated" date at the top of this page will always reflect the most recent revision. Material changes will be communicated to schools before they take effect.

9. Governing law

These terms are governed by the laws of the Republic of Ghana.
